Assigning Tasks
Assign action items to team members and set due dates to ensure follow-through.
Assigning to Team Members
When editing an action item, you can assign it to:
- Organization members: Anyone in your organization
- Meeting participants: People detected as participants in the meeting
- Calendar attendees: People from the linked calendar event
- Custom email: Any email address (external people won't get notifications)
How to Assign
- Open the action item (from meeting or Action Items page)
- Click the assignee field
- Select a person from the dropdown or type an email
- Save changes
"Assigned to Me" Feature
When someone assigns a task to you:
- It appears in your "Assigned to me" filter on the Action Items page
- You can see the task even if you didn't create it
- Both you and the creator can mark it complete
Important
For "Assigned to me" to work, the assignee must have an IceCubes account with the same email. External people won't see tasks in IceCubes.
Setting Due Dates
- Click the due date field on any action item
- Select a date from the calendar picker
- The due date will display on the action item
Overdue tasks (past due date and not completed) are highlighted in the list.
Best Practices for Assignment
- One owner per task: Avoid assigning to "the team" - pick one person
- Use realistic due dates: Don't default everything to "tomorrow"
- Confirm acceptance: Let assignees know about new tasks
- Be specific: "Review PR" is better than "look at the thing"
Reassigning Tasks
To change who's responsible:
- Open the action item
- Click the current assignee
- Select a new person
- The change is logged in the task history
Unassigned Tasks
Tasks without an assignee show "Unassigned" and don't appear in anyone's "Assigned to me" filter. Consider assigning them or removing them if not needed.
