Sharing & Access Control
IceCubes uses a flexible permission model to control who can access meetings based on ownership, participation, explicit sharing, and organization hierarchy.
How Meeting Access Works
There are four ways someone can access a meeting:
1. Meeting Owner
The person who recorded the meeting has full control:
- Edit meeting title and transcript
- Delete the meeting
- Share with others or create public links
- Generate AI summaries, next steps, and insights
- Create and assign action items
- Add comments and highlights
2. Meeting Participant
Anyone whose email appears in the meeting participants (detected from the call) automatically has access:
- View transcript and use AI chat
- Generate AI summaries and next steps
- Add comments and highlights
Participant access is automatic based on email matching - no invitation needed.
3. Explicit Sharing
The meeting owner can share with specific people:
- Click "Share" on any meeting
- Enter email addresses
- They'll receive access immediately
4. Organization Permission Profiles
If you're part of an organization, your permission profile determines what meetings you can access:

| Admin | All Calls | Can see all meetings in the organization |
| Manager | Reports' Calls | Can see meetings from everyone in their reporting chain (all levels below) |
| Team Member | Manager's Team | Can see meetings from their manager and all teammates under that manager |
| Member | Own Only | Can only see their own meetings (plus participant/shared access) |
Organization Hierarchy
Permission profiles like "Manager" and "Team Member" use your organization's hierarchy to determine access:
- Manager profile: If you manage a team, you can see all meetings from anyone who reports to you, directly or indirectly
- Team Member profile: You can see meetings from your manager and everyone else under your manager
The hierarchy is set up in Organization Settings → Hierarchy. It can be managed manually in Organization Settings.
Public Links
Create a shareable link for external access (non-IceCubes users):
- Click "Share" → "Create Public Link"
- Configure permissions and expiration
- Copy the link to share
- Anyone with the link can view the meeting
Link Settings
- Expiration: Set when the link stops working
- Require authentication: Force sign-in before viewing
- Max views: Limit how many times the link can be used

Revoking Access
To remove someone's access:
- Go to meeting → Share settings
- Remove individual users or disable public links
- Changes take effect immediately
Note: You cannot revoke participant access (it's automatic based on who was in the call) or organization-based access (controlled by permission profiles).
