General Questions

What is IceCubes?

IceCubes is a botless AI meeting assistant for revenue teams. It captures transcripts from Google Meet, Zoom, and Microsoft Teams — either automatically via a browser extension or by recording directly from your browser or phone. IceCubes then generates AI-powered summaries, extracts action items, provides call coaching insights, and helps teams collaborate on meeting content.

Unlike bot-based solutions, IceCubes never sends a bot to join your meetings. Your conversations stay private.

Which meeting platforms are supported?
  • Google Meet — Full support with sidebar integration via the browser extension
  • Zoom — Web client with overlay widget via the browser extension
  • Microsoft Teams — Web client with overlay widget via the browser extension
  • Any platform — Use the Record button to capture audio from any meeting, including Webex, GoTo Meeting, phone calls, and in-person meetings
Do I need to install the browser extension?

No, the extension is optional. IceCubes offers three ways to capture meetings:

  • Browser extension (Chrome & Edge) — Automatic capture with participant names, sidebar integration, and unlimited transcription. Recommended for desktop users on Google Meet, Zoom, and Teams.
  • Web recording — Click the Record button in IceCubes to capture any meeting from your desktop browser. No extension needed. Uses your daily recording credits.
  • Mobile recording — Record meetings directly from your phone. Works for in-person meetings, phone calls, and any meeting where you have audio access.
What is the difference between extension capture and recording?

The browser extension captures live captions from Google Meet, Zoom, and Teams. It detects participant names automatically, runs unlimited, and works entirely locally — no audio leaves your device.

The Record button captures audio from your microphone (and system audio on desktop) and transcribes it using Deepgram's AI. Speakers are separated automatically, and you can assign names after the meeting. Recording uses daily credits based on your plan.

Do I need to be the meeting host?

No, you can capture any meeting you are a participant in. The browser extension works whenever live captions are available in the meeting. The Record button works in any scenario — no special permissions needed.

Are other participants notified when I capture?

No. IceCubes does not send a bot or add any visible indicator to the meeting. With the browser extension, it captures captions already displayed on your screen. With the Record button, it records audio locally from your device. No other participant is notified in either case.

Important: Check your organization's policies about meeting transcription and recording. Some companies and jurisdictions require consent from all participants.

Does IceCubes send a bot to my meetings?

No, never. IceCubes is completely botless. No participant named “IceCubes Notetaker” or similar will ever join your meeting. All capture happens locally on your device — either through the browser extension reading captions, or through the Record button capturing audio from your mic and speakers.

Recording

How does web recording work?

Click the Record button on the meetings page or in the navigation bar. On desktop, IceCubes captures both your microphone and system audio (the audio coming from your speakers). The full audio is recorded locally, then uploaded and transcribed using Deepgram's AI when you stop the recording.

During recording, you can take notes, pause/resume, and see real-time audio levels. The recording auto-stops at 60 minutes.

How does mobile recording work?

On mobile devices, the Record button captures audio from your phone's microphone. This is ideal for in-person meetings, phone calls, or any situation where your phone can hear the conversation. The audio is uploaded and transcribed when you stop recording.

AI-powered speaker diarization automatically separates different speakers in the transcript, which you can rename afterwards.

How many recordings can I make per day?

Recording uses daily credits based on your plan:

  • Free: 5 recordings/day
  • Pro: 15 recordings/day
  • Enterprise: Unlimited

Extension-based capture (Google Meet, Zoom, Teams) is always unlimited and does not count toward your daily recording credits.

What happens if I'm recording a Google Meet, Zoom, or Teams meeting?

If you click Record and share a tab running Google Meet, Zoom, or Teams, IceCubes will suggest using the browser extension instead. The extension provides better results: automatic participant names, unlimited transcription, and no daily limits. You can still choose to record anyway if you prefer.

Transcripts

I forgot to install the extension. Can I still get the transcript?

Yes, if the meeting was on Google Meet and the host enabled recording or transcripts. On the Calendar page in IceCubes, click the Recover from Google Meet button on any past Google Meet event. IceCubes pulls the native transcript Google generated and runs the same AI summary, action items, and insights as if you had the extension running.

You grant a one-time read-only permission the first time. Recovery is unlimited on every plan, including Free. See Recover a missed meeting for the full guide.

I joined a meeting late. Can I get the full transcript?

Yes. On the Calendar page, click Replace with Google Meet transcript on the past event. IceCubes archives your partial transcript (recoverable later) and replaces it with Google's full transcript. Summary, action items, and insights regenerate. Your notes, comments, and highlights are preserved.

How do I get the best transcript quality?

A few tips for the best results:

  • Enable captions at the start of the meeting (for extension capture)
  • Use a good microphone and minimize background noise
  • Keep the microphone close to speakers (especially for in-person recording)
  • Ensure a stable internet connection during the meeting

IceCubes captures everything it hears — better audio in means a more complete transcript out.

Can I edit transcripts?

Yes. Click on any transcript segment to edit the text. You can correct misheard words, fix speaker names, or add clarifications. All edits are saved automatically.

How accurate is the transcription?

IceCubes delivers high-accuracy transcription. With the Record button, Deepgram's state-of-the-art AI transcription achieves industry-leading accuracy for clear audio. With the browser extension, accuracy matches the meeting platform's own caption quality.

For the best results, use a quality microphone in a quiet environment. You can always click any transcript segment to make quick edits if needed.

How are speaker names handled?

With the browser extension, speaker names are detected automatically from the meeting platform.

For recorded meetings, IceCubes uses AI-powered speaker diarization to distinguish between different speakers. You can assign names to each speaker on the meeting page, and the names apply across the entire transcript.

AI Features

What are AI credits and how do they work?

AI summaries are free on all plans (limited to 10/day and 300/month). Insights, action items, next steps, AI chat, and Live Assist queries use AI credits. Each account has a monthly credit allocation based on your plan:

  • Free: 50 credits first month, then 15/month
  • Pro: 300 credits/month
  • Enterprise: Unlimited credits

Credits reset at the beginning of each billing cycle.

What are AI Notes?

AI Notes transforms your meeting transcript into structured, comprehensive meeting notes — organized by topic with nested details, speaker attribution, key decisions, and next steps. Unlike a summary (which condenses), AI Notes captures the full substance of the discussion in a well-organized format you can share or reference later.

Access AI Notes from the AI Notes tab on any meeting page, or from the Notes sidebar. AI Notes are free on all plans (same limits as summaries). Your raw notes taken during the meeting are automatically integrated into the AI-generated output.

What is AI Call Coaching?

AI Call Coaching automatically scores sales calls against competencies defined by your team — such as discovery quality, objection handling, and closing technique. After a meeting is transcribed, IceCubes evaluates the conversation and provides a scorecard with a 1/3/5 rating for each competency, along with specific evidence and recommendations.

Managers can view scorecards for their team, drill into individual seller performance over time, and override scores with comments visible to the rep. Available on Pro and Enterprise plans.

How reliable are AI summaries?

AI summaries are highly accurate and capture the key points from your meetings. As with any AI-generated content, we recommend a quick review before sharing externally — especially for meetings with specialized terminology or nuanced discussions.

How do AI-generated action items work?

After a meeting ends, IceCubes analyzes the transcript to identify tasks, commitments, and follow-ups mentioned during the conversation. It extracts these as action items with suggested assignees based on context.

You can edit, reassign, mark as complete, or delete any AI-generated action items.

What languages does IceCubes support?

IceCubes supports transcription and AI features in 30+ languages. The Record button supports all major languages via Deepgram's multilingual AI models. The browser extension supports all languages available in Google Meet, Zoom, and Teams captions.

AI summaries, insights, and chat can output in any language. By default, IceCubes auto-detects the transcript language and generates AI content in the same language. You can also set a preferred output language in Settings.

Organizations & Collaboration

How do organizations work?

An organization represents your company or team. Organization members have different permission profiles that determine what meetings they can access:

  • Admin: Full access to all organization meetings and settings
  • Manager: Access to their own meetings and their team members' meetings
  • Team Member: Access to their own meetings and meetings shared with them
  • Member: Access to their own meetings only
Can I be in multiple organizations?

Yes. You can be a member of multiple organizations. This is useful if you work with different teams, clients, or companies. Each organization has its own members, permission structure, and meeting data. You can switch between organizations from the sidebar.

Who can see my meetings?

Meeting access is based on several factors:

  • Ownership: You always see meetings you recorded or captured
  • Participant email: If your email appears as a meeting participant
  • Explicit sharing: If someone shares the meeting with you
  • Organization access: Based on your permission profile and team hierarchy

Managers can see their team members' meetings, enabling team oversight and coaching.

How does meeting sharing work?

You can share any meeting you own with specific people by email. Shared recipients can view the transcript, AI summaries, and action items. You control sharing from the meeting page using the share button.

Which integrations are available?

IceCubes integrates with:

  • Google Calendar — Syncs upcoming meetings and links transcripts to calendar events
  • Slack — Post meeting summaries and action items to channels
  • CRM — Sync meeting data to Salesforce, HubSpot, and other CRMs
  • Zapier — Connect to 7,000+ apps with automated workflows
  • Google Drive — Export transcripts and summaries

How does the Google Calendar integration work?

Connect your Google Calendar to see upcoming meetings on the IceCubes calendar page. IceCubes automatically links transcripts to calendar events when it detects a matching meeting, showing attendees, agenda, and conferencing details alongside your transcript.
