Quick solutions for common issues with IceCubes extension, sync, and platform-specific problems.

Quick Fixes to Try First

Refresh the meeting page
Restart Chrome browser

Extension Issues

Extension not capturing meetings

If your meetings aren't being captured, follow these steps in order:

  1. Open chrome://extensions and verify IceCubes is enabled
  2. Click the IceCubes icon and check that you're signed in
  3. Make sure captions/transcription is enabled in your meeting
  4. Refresh the meeting page (Ctrl/Cmd + R)
  5. If still not working, restart Chrome completely
Sidebar or overlay not appearing

The IceCubes interface should appear automatically on supported meeting pages. If it doesn't:

  • Click the IceCubes extension icon in your toolbar to manually open
  • Verify you're on a supported page (meet.google.com, zoom.us/wc, teams.microsoft.com)
  • Check that the extension has permission to access the site
  • For Teams/Zoom: the overlay appears after joining the meeting
Can't sign in to the extension

Authentication issues are usually resolved by:

  • First, create an account at the IceCubes web app if you haven't
  • Use the same Google account in both the extension and web app
  • Clear browser cache: Settings → Privacy → Clear browsing data
  • Try removing and reinstalling the extension

Sync Issues

Meeting not appearing in dashboard

After a meeting ends, it may take a moment to sync. Try these steps:

  • Wait 30-60 seconds after the meeting ends
  • Refresh the meetings page in the web app
  • Verify you're signed in with the same account
  • Check your internet connection stability

Note: Meetings with very short transcripts (under 10 lines) may not sync.

Transcript is incomplete or has gaps

Incomplete transcripts are usually caused by:

  • Late caption start: Captions weren't enabled from the beginning
  • Network issues: Intermittent connectivity during the meeting
  • Platform problems: The meeting platform's transcription service had issues
  • Tab focus: On some platforms, captions pause when the tab loses focus

For best results, enable captions before the meeting starts and keep the meeting tab active.

Platform-Specific Issues

Google Meet: Captions not detected

Google Meet requires captions to be manually enabled:

  1. In your meeting, click the "CC" button or go to More options → Turn on captions
  2. Wait 2-3 seconds for IceCubes to detect the captions
  3. If captions were already on before you joined, refresh the page
  4. The IceCubes sidebar should show "Capturing" status when working
Zoom: Live transcription unavailable

Zoom transcription depends on meeting host settings:

  • The meeting host must enable "Live Transcription" for the meeting
  • Some Zoom plans (Basic free) don't include live transcription
  • Ask the host to enable it: Security → Enable Live Transcription
  • Once enabled, click "Show Captions" in your Zoom controls

Important: IceCubes only works with Zoom's web client, not the desktop app.

Microsoft Teams: Overlay issues

The Teams overlay is designed to be flexible:

  • Move it: Click and drag the title bar to reposition anywhere
  • Resize: Drag the edges to make it larger or smaller
  • Minimize: Click the minimize button to collapse
  • Missing overlay: Refresh the page after joining the meeting

Note: Use the Teams web client (teams.microsoft.com), not the desktop app.
